Full IT Service for HNAM

Hungarian National Asset Management Inc. (HNAM) called for a public procurement tender to implement a complex IT service. The sole winner of the tender and the executor of the project was Fornax ICT.

With the implementation of the multi-functional system at HNAM the paper-based administration of earlier is replaced by the quicker and simpler online administration, so now data can not only be requested by manually filling out and mailing forms, the request can be sent to HNAM via an electronic form on the internet 24/7.

The introduction of IT solutions supporting internal operation as well results in a more efficient administration at HNAM on one hand and increases the effectiveness of the company on the other. This solution decreases the duration of internal processes and the resources needed for them.  With the option to fill out and hand in requests electronically, the system makes services for clients requesting proposals more accessible – improving the user experience, whether the user is a private citizen, a body of authority or an enterprise.

As a first step Fornax ICT designed the request forms with the form designer application – incorporating the appropriate verification algorithms – and in close collaboration with HNAM prepared the relevant guidelines and instructions. The prepared electronic forms and the related guidelines and instructions were made available by HNAM on its homepage for its clients.

The solution created the possibility of a connection between the    Client Gate and HNAM’s document handler and other IT systems. This way incoming electronic documents can be sent to HNAM by its clients securely and electronically, and the requests are automatically fed into the system of administrative processes.

With the help of Eventus, the work flow and work force manager system developed by Fornax, processes in HNAM are more efficient, the incoming requests pass through the phases of the processes automatically depending on their content, requiring minimal human intervention – including necessary electronic and manual activities.

The developers designed the document handling processes in a way that increases the processing efficiency of paper-based requests as well. These requests are handled manually in the document handler of HNAM, they are also manually registered into the processes, but from now on they can be treated in the same manner as the requests sent in electronically. This feature also greatly simplifies and shortens the daily work of civil servants.

The automated document handling processes ensure that forms sent in electronically can be received and registered automatically. The system sends back the registration id to the client, notifying him that the document was received into the system. It will now be easier for the requester to inquire about his request by referring to the registration id.
